Who handles your information

Coached by Steph is operated by Steph as a sole trader in Springfield Lakes, QLD. Steph personally handles enquiries about coaching and Glow & Co. spray tans. For privacy questions, email info.coached.by.steph@gmail.com.

What you share when you enquire

When you email or message Steph, she receives your email address or profile details, your name if provided, and the information you choose to include. She uses this information to reply, discuss suitable services and manage any booking arrangements you make with her.

You can browse the website without providing your name. If you enquire, Steph needs a way to reply. Please keep your first message to what you are looking for; you do not need to send detailed health information to start a conversation.

Where enquiries are stored and who can access them

Enquiries are stored in Steph’s email or messaging history. Steph is the only person within the business who accesses these enquiry messages.

The email and messaging providers also store and process information to provide their services. Email enquiries use Gmail, and Instagram messages use Meta’s services. These providers may process information outside Australia under their own privacy policies. See Google’s privacy policy and Meta’s privacy policy for details.

How long enquiries are kept

Steph reviews general enquiries every six months. Closed enquiries that do not become a booking are deleted when no longer needed, normally within 12 months of the last contact. They may be deleted sooner when there is no ongoing need to keep them.

Records needed for ongoing services, tax, legal or insurance purposes may be retained longer. Client screening, health information, consent, injury and complaint records are considered separately from the routine enquiry clean-up. Records that must be kept by law are retained for the required period.

This approach applies to records Steph controls. Email and messaging providers manage their own systems and retention practices; deleting a conversation from Steph’s account does not necessarily remove copies held by the provider or the other person.

Information from visiting this website

This website has no enquiry form, payment checkout, analytics, advertising trackers or embedded social feeds. Contact buttons open your email app or Instagram; no enquiry message is submitted through this website.

The hosting provider serves the website files and fonts and may process technical access and security logs, such as your IP address, browser details and pages requested. These help deliver and protect the website. The selected host is Netlify; see Netlify’s privacy policy for its handling practices, including international processing.

Access, corrections and deletion requests

To ask about information Steph holds about you, request access or a correction, or ask for it to be deleted, email info.coached.by.steph@gmail.com. Include enough detail to identify the enquiry and explain what you would like done.

Steph may need to confirm your identity before providing or changing personal information. She will consider your request and explain if information needs to be retained, or if another reason limits what she can do.

Privacy concerns and photographs

If you have a privacy concern, including a question about an image of you on the website or a request to withdraw permission, contact Steph at the email address above. Explain the concern and the outcome you are seeking so she can review it and respond.

If your privacy concern remains unresolved, you can seek guidance from the Office of the Australian Information Commissioner.
